Exporting Entities
In this chapter you will read:
Exporting data is to save data into an external storage space or file. Most modern or even old software do have support for exporting data in any form. For example, graphical software have differnet formats and each of them save and load their own specific format such as PhotoShop with its PSD formats. However, such software can also interact with other software by integrating those software's formats into their programs. Therefore a program such as PhotoShop is able to load BMP/JP(E)G/GIF/PNG/TIF and other picture formats. Mekashron Call Center Software, being a modern program, also supports exporting data to various formats for your convenience. Some of these formats are Comma Delimited Text Files, Excel data-sheets, Access Databases and many more. Here in this chapter of our manual, you will be walked through various steps that can be performed in order to export entities from Mekashron Call Center Software to specific data-formats.
1 - Exporting Entities from a Comma Delimited Text File
"Delimited" means
marked off with something. A comma delimited text is a text file (plain ASCII) which is marked off with commas. Commas are punctuation marks (,). When two text parts are comma delimited, a comma comes between them in order to separate them from each other. For example, "this, that" are comma delimited. The white-space after the comma does not count as any special character. The text could also be formatted as "this,that". Comma Delimited text files are exportant because many programs can interact with them in the sense they can read from and write to them, due to their simplistic nature of formatting. Mekashron Call Center Software is no exception to this. In fact, in next sections of this manual you will also get to know about various methods of exporting data from Mekashron Call Center Software to other formats such as Excel datasheets.
Let us now get started on how we can export Comma Delimited Text Files from Mekashron Call Center software. In order to do this, please follow the below steps. We are assuming that you have already logged into the data-base with our software and you have our software's main screen right in front of you. You can read more about these in the Installation and Logging in section of our manual.
- Before being able to export any data, you must select the entities that have to be exported. Entities can be selected in the Entities List group-box in the main screen of Mekashron Call Center software as shown below:

- In the main window of Mekashron Call Center software, click on the Entities main menu to the top left section of the program. At this time, you will be presented with the below list of sub-menus:

- At this time, select the Export Entities menu item. At this time, you must be presented with the Export Wizard window as shown below:

- Bear in mind that there is an alternative method for showing the Export Wizard other than the above steps. If you are keen to know this method also, follow the below sub-steps. If not, simply jump to the fifth step of exporting Comma Delimited Text files.
- In the Mekashron Call Center software main window, click on the drop-down indicator of the Add Entity button as marked in a red rectangle in the below shape:

- By clicking on the above slip, you will be presented with a pop-up menu as that shown below. Simply click on the Export Entities menu-item which will also take you to the Export Wizard window.

- Once in the Export Wizard window, you will see a various of selections. We are now interested in exporting comma delimited text files. Therefore, makes sure that the ASCI/Text File (Comma Delimited) radio-button is selected in the list, as depicted in Figure 1.2. After this, please click on the Next >> button at the bottom right side of the Impoprt Wizard window:

- After clicking on the Next Button, you will be presented with the next step of the exporting process. This window is depicted below:

- There are various fields in the window in Figure 1.6 that need explanation. Let us go through them one by one:
- File Name: this is the field where you can enter the destination Comma Delimited text file. You have the option of either manually entering the file name or you can simply click on the
button in order to browse through your local files and save the file wherever available and possible.
- Delimiter: this field specifies how the text fields in the file are separated from each other. By default, the delimiter is set to a comma punctuation character. You can choose any valid character for this field. By default, we have put a comma, a period and a dash. You can put your own character if needed.
- Assign Fields: when writing the comma delimited text file, you must define for Mekashron Call Center software how it should process the various information in the database before saving them to the text file. For example, you have the First Name, Last Name, Company and other fields for each of your entities and the rest of the fields are empty. In this case, you can select the First Name field, click on the space to its right highlighted in dark blue in Figure 1.6 and then simply select which field in the text file should be associated with this column.
- Let us now try to export a file in the Export Wizard window. This is depicted below. The output file will be saved into "C:\Documents and Settings\root\Desktop\Entities.txt" file as chosen by the below File Name:

- Before exporting the file into a comma delimited text file, you need to associate First Name, Last Name and other fields with the ones that you want to export. In order to simplify this, let us read about an example. This is very simple to grasp! Suppose you have hundres of entities in your corporation and you want to export only the first name, the last name and the email address of a few of them. After selecting those few entities, you can ask Mekashron Call Center software to only export the First Name, the Last Name and the Email address but nothing else. By clicking on the First Name field in the Assign Fields group box, you will see the below result:

- You can see that Mekashron Call Center software has already intercepted the structure of the internal database and has come up with a plan in which the first field is the First Name, the second field is the Last Name and etc. You now get the opportunity to assign each of the fields in the text file to whichever field that you believe is more accurate, in Mekashron Call Center software. The First Name and the Last Name fields can be assigned to Column 1 and Column 2 respectively and the Email field to Column 3 of the text file:

- Now it is time to assign the Email field to the 3rd column present in the database

- Once you have made all your required changes, you can perform various operations such as going to the Next window to finish up the wizard or you could save your settings and etc. You must have already noticed the three small graphical buttons we have implemented in the Export Wizard window's second stage. These are shown in Figure 1.10, 1.9 and etc below the Assign Fields group box, to the left. These buttons' functionalities are explained below:
this button will align all the fields automatically for you. This means that the First name field will be the first column in the text file, the Last Name field will be the second and so forth.
this button will load a Field Assignment File (.faf) into the program and align all the fields accordingly. Please read the description for the button below in order to understand what FAF files are.
this button will save the current settings assigned to the Assign Fields group-box, as a Field Assignment File (.faf). FAF files are produced and loaded by Mekashron Call Center software program which facilitate easy access to previously saved settings in the assigning of fields to data files and etc. For example, we have now assigned the First Name, the Last Name and the Email fields to various columns in the output file. Every time you would want to export a text file similar to this, you do not have to align the fields over again. What you can do is to save your current Assign Fields settings and then load them with the Load settings button described above.
- After completing the above steps, you can now click on the Next >> button to the bottom right side of the window to go to the next and the final step of the exporting wizard. The last step of the wizard is depicted below:

- The "Check for duplicated values" check-box will allow you get rid of all the duplicate values that are about to be exported. Please note that if this check-box is unchecked, the Match duplicated values by and the When duplicate value found group-boxes will both disappear and you won't see them on the screen. Now we will go about describing the various adjustable fields in the above two group-boxes:
- Match duplicated values by: here you can select how duplicated values should be detected. For example, if in an enterprise or a corporation, the email address of two people can not be the same, then you can check the Email check-box and our software will take care of the rest. However, what our software will do depends on the option which is selected in the When duplicate value found group-box described below. Bear in mind that the fields displayed in this group-box (Match duplicated values by) is originated from the fields that you have created before.
- When duplicate value found: when our software finds a duplicate value in one or some of the fields specified in the Match duplicated values by group-box, it will take an action according to what is selected in this group-box (When duplicate value found). Various fields in this group-box are explained below:
- Ignore the duplicated record: will, as its name implies explicitly, ignore the record in the database and will not add it to the file to be exported.
- Overwrite original record: if a record is found in the exported file that matches the specific information (assigned fields) by the record that is being looked up in the database, the former record will remain in the exported file and its various information will be overwritten by the record from the database, according to the assigned fields. For example, if you have checked the Email check-box in the Match duplicated values by group-box and there is already an entity with that information in the exported file, Mekashron Call Center software will overwrite that entity's information with the one being read from the internal database, through the email field since the email field was the only field which was selected.
- Update original record: will update the duplicated records' in the file to be exported according to the values specified by the internal database, through the assigned fields. Again, if you have checked the Email check-box in the Match duplicated values by group-box and there is already an entity with that email address in the file to be exported, our software will update that entity's information according to the value specified in the database. The entity will not be deleted but its various fields will be updated. Also note that the category can not be changed once you use this mode.
- Delete original record: as its name implies will delete the original record from the file to be exported instead of updating it. Please bear in mind that the new record will not be exported after the original record is deleted.
- The Export Titles check-box (which however is not selected by default), will allow the title bars of each of the columns to be extracted to be also saved into the exported file. This will allow Mekashron Call Center software to detect the titles while exporting data from a file.
- After you have selected all the required options, you can click on the Next >> button to the rightmost bottom side of the screen as shown below.

- Congratulations! You will now be shown the below message box which indicates the success of the exporting process:

- After exporting is done, Mekashron Call Center software will immediately attempt to execute the output file for you:

2 - Exporting Entities to Microsoft Excel
Excel is a spread-sheet product from Microsoft which allows formulating values in cell-based organizations. This software facilitates exporting and exporting date just like Mekashron Call Center software. If you already have some data in your instance of Microsoft Excel and you would like to be able to use them in Mekashron Call Center software, you can simply export those data and export them in our software. This is explained in the Exporting Entities section. In this section, we will learn more about the concept of exporting data from Mekashron Call Center software to Excel-conforming datasheets.
Let us now get started on how we can export entities from Mekashron Call Center software to Excel spreadsheets. In order to do this, please follow the below steps. We are assuming that you have already logged into the data-base with our software and you have our software's main screen right in front of you. You can read more about these in the Installation and Logging in section of our manual.
- Before being able to export any data, you must select the entities that have to be exported. Entities can be selected in the Entities List group-box in the main screen of Mekashron Call Center software as shown below:

- In the main window of Mekashron Call Center software, click on the Entities main menu to the top left section of the program. At this time, you will be presented with the below list of sub-menus:

- At this time, select the Export Entities menu item. At this time, you must be presented with the Export Wizard window as shown below:

- Bear in mind that there is an alternative method for showing the Export Wizard other than the above steps. If you are keen to know this method also, follow the below sub-steps. If not, simply jump to the fifth step of exporting Excel files.
- In the Mekashron Call Center software main window, click on the drop-down indicator of the Add Entity button as marked in a red rectangle in the below shape:

- By clicking on the above slip, you will be presented with a pop-up menu as that shown below. Simply click on the Export Entities menu-item which will also take you to the Export Wizard window.

- Once in the Export Wizard window, you will see a various of selections. We are now interested in exporting Microsoft Excel files. Therefore, makes sure that the Microsoft Excel radio-button is selected in the list, as depicted in Figure 1.17. After this, please click on the Next >> button at the bottom right side of the Impoprt Wizard window:

- After clicking on the Next Button, you will be presented with the next step of the exporting process. This window is depicted below:

- There are various fields in the window in the above figure that need explanation. Let us go through them one by one:
- File Name: this is the field where you can enter the destination Excel file name. You have the option of either manually entering the file name or you can simply click on the
button in order to browse through your local files and save the file wherever available and possible.
- Worksheets: specifies the name of the worksheet in which the exported data will be saved. Note that each Microsoft Excel spreadsheet could be made of many sheets. The first sheet is usually indexed Sheet1, the second Sheet2 and etc. Since we are exporting data in a linear and flat manner, it gets stored in one sheet which is Sheet1.
- Assign Fields: when writing the Excel file, you must define for Mekashron Call Center software how it should process the various information in the database before saving them to the file. For example, you have the First Name, Last Name, Company and other fields for each of your entities and the rest of the fields are empty. In this case, you can select the First Name field, click on the space to its right highlighted in dark blue in Figure 1.21 and then simply select which column in the Excel datasheet should be associated with this column.
- Let us now try to export a file in the Export Wizard window. This is depicted below. The output file will be saved into "C:\Documents and Settings\root\Desktop\Entities.xsl" file as chosen by the below File Name. The Worksheets field is set to Sheet1:

- Before exporting the file into an Excel datasheet, you need to associate First Name, Last Name and other fields with the ones that you want to export. 3 - Exporting Entities to Data Source (ODBC)
In previous sections of this chapter we read about Mekashron Call Center software allowing various types of data to be exported into the different databases. For example, comma delimited text files and Excel datasheets. In this section, we will talk about all other different data-sources such as Access Databases and etc. Mekashron Call Center software has the ability to export data to Microsoft Access, SQL Server, dBase and in general any other ODBC related sources that are accessible through the ODBC administration tool. In this sub-section, we will go through the steps that are required to be traversed in order for the Mekashron Call Center software's database to be exported to an already-created Access database.
Let us now get started on how we can export Access Files from Mekashron Call Center software. In order to do this, please follow the below steps. We are assuming that you have already logged into the data-base with our software and you have our software's main screen right in front of you. You can read more about these in the Installation and Logging in section of our manual.
- In the main window of Mekashron Call Center software, click on the Entities main menu to the top left section of the program. At this time, you will be presented with the below list of sub-menus:

- At this time, select the Export Entities menu item. Then, you must be presented with the Export Wizard window as shown below:

- Bear in mind that there is an alternative method for showing the Export Wizard other than the above steps. If you are keen to know this method also, follow the below sub-steps. If not, simply jump to the fourth step of exporting Access files.
- In the Mekashron Call Center software main window, click on the drop-down indicator of the Add Entity button as marked in a red rectangle in the below shape:

- By clicking on the above slip, you will be presented with a pop-up menu as that shown below. Simply click on the Export Entities menu-item which will also take you to the Export Wizard window.

- Once in the Export Wizard window, you will see a various of selections. We are now interested in exporting Access files. Therefore, makes sure that the ODBC Data Source (System DSN) radio-button is selected in the list, as depicted in Figure 1.31. After this, please click on the Next >> button at the bottom right side of the Impoprt Wizard window:

- After clicking on the Next Button, you will be presented with the next step of the exporting process. This window is depicted below:

- There are various fields in the window in Figure 1.35 that need explanation. Let us go through them one by one:
- Data-source:specifies the type of data-source you would like to choose. In other words, you can specify what type of data-base you are intending to export the Mekashron Call Center software data-base into. You can select from the list of predefined and selected data-sources. If you believe you are the type of data-source you are looking for is not listed in the Data-source combo-box, you can simply click on the
button to the right side of the Data-source combo-box.

- Table: specifies the destination table in the chosen data-source. For example, if you are browsing for an Access data-base, Mekashron Call Center software will analyze the Access file and list all the available tables in this combo-box. Also if you are browsing an SQL Data-base, you will be able to see the available tables in the list.
- Let us now try to export a file into the Export Wizard window. This is depicted below. Please note: to be able to select your Access Database, select the MS Access Database item from the Data-source combo-box which is explaind above. At this time, you will be presented with the below browser window:

As you can see above, here you can select a data-source. To the left, you can select your files with the Access' default extension (.mdb) and to the right, you can navigate into the directory hierarchy of the selected drive until you reach the directory which contains the Access destination table. After having selected the desired .mdb Access Database file, click on the OK button to the top rightmost side of the Select Database screen shown in Figure 1.37 above.
- Let us now have a look how our "db1.mdb" file's contents and realize how it is actually formatted:

As you can see, this Access database contains one table called Contacts. The structure of the Contacts table is shown below:

As shown above, the Contacts table in the "db1.mdb" Access database has 3 columns namely "FirstName", "LastName" and "Email". These columns correspond to the columns that we are intending to export from Mekashron Call Center software.s
- Now you can decide which table within the Access file you would like to use as the primary destination of data. This can be adjusted using the Table combo-box depicted in Figure 1.38 below:

Assuming that you have followed all the above steps, you can click on the Next >> button to the bottom rightmost side of the Export Wizard as shown in Figure 1.38 above. You will now be taken to the window described and depicted below.
- After adjusting all the settings above, you can now click on the list-box that appears to the right side of each of the fields in the Assign Fields group-box. For example, by clicking on the First Name field's list-box, the below results will be shown:

- You can see that Mekashron Call Center software has already intercepted the structure of the source data file and has come up with a plan in which the first field is the First Name, the second field is the Last Name and etc. You now get the opportunity to assign each of the fields in the file to whichever field that you believe is more accurate, in Mekashron Call Center software. The First Name and the Last Name fields can be assigned to field A and B respectively and the Email field to field C of the Access table:

- Ignore the duplicated record: will, as its name implies explicitly, ignore the record in the database and will not add it to the file to be exported.
- Overwrite original record: if a record is found in the exported file that matches the specific information (assigned fields) by the record that is being looked up in the database, the former record will remain in the exported file and its various information will be overwritten by the record from the database, according to the assigned fields. For example, if you have checked the Email check-box in the Match duplicated values by group-box and there is already an entity with that information in the exported file, Mekashron Call Center software will overwrite that entity's information with the one being read from the internal database, through the email field since the email field was the only field which was selected.
- Update original record: will update the duplicated records' in the file to be exported according to the values specified by the internal database, through the assigned fields. Again, if you have checked the Email check-box in the Match duplicated values by group-box and there is already an entity with that email address in the file to be exported, our software will update that entity's information according to the value specified in the database. The entity will not be deleted but its various fields will be updated. Also note that the category can not be changed once you use this mode.
- Delete original record: as its name implies will delete the original record from the file to be exported instead of updating it. Please bear in mind that the new record will not be exported after the original record is deleted.
- After you have selected all the required options, you can click on the Next >> button to the rightmost bottom side of the screen as shown below.

- Congratulations! You will now be shown the below message box which indicates the success of the exporting process:

- After exporting is done, Mekashron Call Center Software will immediately attempt to execute the output file for you:
